Your clients' data, and how to get it back out.

Estate planning records are about as sensitive as client data gets. Here is what we hold, what we do with it, and how you take it away if you leave.

Estate planning records are among the most sensitive data a small practice will ever hold: family structures, estrangements, asset positions, health and capacity. This page says what we do with them.

Who is responsible for what#

You are the data controller for your clients' personal data. You decide what to collect and why, you answer to your clients, and you answer to the ICO. Project Will Ltd is the processor for the data you put into Willo, acting on your instructions under a data processing agreement.

This is not a technicality worth glossing over. Some of the compliance burden in this profession is genuinely yours and no software removes it.

Project Will Ltd#

  • Registered in England and Wales, Companies House 16839327
  • ICO registered as a data controller and processor
  • UKPRN 10101187 on the UK Register of Learning Providers
  • Based in Sheffield

All of those are verifiable on public registers, and we would encourage you to verify them — including ours.

Your data, and getting it back#

Export clients, documents and history in standard formats whenever you want. No export fee, no notice period, no window during which we hold your client list to discourage you from leaving.

We think this should be unremarkable and in this market it is not.

Access inside your practice#

Every user is included in the price, which matters for security as well as for cost. Per-user pricing quietly encourages small practices to share one login between three people — which destroys the audit trail and is a data protection problem waiting to happen. We would rather you gave everyone their own account, so we do not charge you for it.

Ask Willo#

Ask Willo is built for how-to questions, drafting client emails and explaining concepts. It is not a place to paste client files. If you need the exact processing position in writing for your own compliance records, ask support and you will get it in writing rather than a marketing paragraph.

Questions

Before you ask.

Who is the data controller?

For your clients' personal data, you are. Project Will Ltd acts as processor in respect of the data you put into Willo, under a data processing agreement. You remain responsible to your clients and to the ICO for the advice you give and the records you keep.

Can I get my data out?

Yes, whenever you want, in standard formats — clients, documents and history. It is your data and there is no retention period during which we hold onto it to make leaving awkward. Any provider who makes export difficult is telling you something.

What happens to my data if I cancel?

Export it before you go. After cancellation we retain it for a limited period so that you can still recover it if you change your mind, then delete it. Ask support for the current period if it matters to your retention policy.

Does Ask Willo send my client data to an AI provider?

Ask Willo is designed for how-to questions, email drafting and explaining concepts, not for processing client files. Do not paste client identifiers into it. If you need the exact processing position in writing for your own records, ask support and we will give it to you in writing.
